Setting up appointment scheduling in LEADSORBIT allows your business to accept bookings automatically and manage staff availability. You can create calendars, configure availability, share booking links, and manually manage appointments. Optional features like payments and notifications can also be configured.
Create a Booking Calendar
Creating a new calendar helps organize your appointments in LEADSORBIT.
- Navigate to Calendars from the left side menu.
- Click + New Calendar.
- Enter a calendar name for the new booking calendar.
- Optionally, add a description for internal reference.
- Assign staff members to the calendar.
- Set a custom URL for the calendar.
- Choose the meeting duration.
- Click Confirm to create the calendar.

Advanced Settings
LEADSORBIT allows you to tailor how appointments are scheduled, collected, and displayed to clients. Configure these settings to improve booking efficiency and client experience.
- Basic Details: Add a calendar logo, name, description, custom URL, group assignment, and meeting invite title for internal and client facing reference.
- Staff & Meeting Location: Assign staff members to the calendar and choose a meeting location (Custom, Zoom, Google Meet, Phone, Full Address, Microsoft Teams, or let the booker enter). Optimize distribution of appointments among staff if needed.
- Availability: Define staff availability for bookings and set recurring availability schedules if applicable.
- Booking Rules: Set meeting intervals, duration, pre/post buffer times, minimum scheduling notice, date range, and maximum bookings per day or per slot. Optionally enable Look busy mode to hide slots from clients.
- Forms & Guests: Choose the contact fields to collect (Name, Email, Phone, Notes), arrange widget steps, and enable consent checkboxes if required.
- Payments (Optional): Enable payment collection during booking and configure payment providers if upfront payment is needed.
- Notifications & Policies (Optional): Configure notifications via Email, SMS, WhatsApp, or in app alerts. Set cancellation and rescheduling policies. Note: notifications are often better handled through workflows.
- Widget Appearance: Customize calendar widget style (Neo or Classic), primary color, background, button text, and which calendar details are visible to clients.
Note: Payments and notifications are optional. Use payments only if clients are required to pay upfront, and consider handling notifications via workflows for better management.

Manage Appointments
Keep track of your booked appointments and manage them.
- Click Calendars from the left side menu.
- Select Calendar View or Appointment List View to see all appointments.
- Click a time slot or existing appointment to view its details.
- To manually book an appointment:
- Click the desired date or + New to add an appointment.
- Select the calendar, enter booking details, and select the contact.
- Click Book Appointment to save the appointment.
